Beta status. Improve-Ops is in Private Beta. Access is limited and may require approval. Development is ongoing and features may change as we improve the service based on user feedback. Private Beta access is free. New Pro subscriptions and paid credit top-ups are unavailable during the beta, and AI usage limits still apply. We welcome feedback at support@improve-ops.com.
1. Controller and contact
The data controller is Tom Preston, a sole trader trading as Improve-Ops. Contact: support@improve-ops.com, or see our Contact page. Website: https://improve-ops.com.
2. Information processed
- Account details such as email address, display name and authentication/session information.
- Beta access applications: name, email, industry, job role, intended use, experience and optional motivation, collected to assess requests for access during the app’s currently restricted beta rollout.
- Project content: problem statements, diagnosis and coach conversations, notes, tasks, tool-builder data, project membership/sharing and feedback.
- Subscription status, Stripe customer/subscription references and payment status, plus monthly AI usage and purchased-credit balances. Card details are entered with Stripe and are not stored in the app’s own entities.
- Audit entries about project, sharing and feedback create, update and delete actions.
- Technical and diagnostic information may be generated by Base44 platform services and backend functions when requests fail or the service is used. The exact fields, log access and retention periods are controlled by the providers and are not fully visible in the app source.
- Messages and details you choose to send to support or include in feedback.
- Browser storage described in the Cookie Policy.
3. How and why we use information
- To create and secure accounts and provide the service, including project collaboration, AI diagnosis/coaching (contract).
- To take subscription and credit-pack payments, administer entitlements and maintain transaction records (contract and, where applicable, legal obligation).
- To maintain service security, troubleshoot failures, prevent misuse and keep operational audit records (legitimate interests, balanced against users’ rights).
- To respond to support requests and feedback (contract or legitimate interests, depending on the request).
- To review beta access applications and decide whether to grant access during a limited beta rollout (legitimate interests in operating a controlled rollout).
4. AI processing and service providers
When you request an AI feature, the relevant problem description and context may be sent through Base44 Core’s InvokeLLM integration for processing and a response. The app source does not identify the underlying model provider, model location, retention settings or whether provider content is used for model improvement. We therefore make no claim that AI inputs are never retained or used for training. See our Security & AI Data FAQ for a plain-language summary for business customers. Base44 provides the app platform, authentication, data entities, backend functions. Stripe processes subscription and credit-pack checkout and payment. Confirm current provider terms, subprocessors and processing locations with Base44 and the service operator before launch.
5. Sharing and international processing
Project content is available to project collaborators where the project owner shares it. Service providers process information as needed to operate the features described above. The app configuration does not establish every provider’s processing location or the transfer safeguards used for each transfer. Those details must be confirmed with the providers and operator; no specific transfer mechanism is promised here.
6. Retention and deletion
The app does not configure fixed retention periods or an automatic deletion schedule for account, project, folder assignment, feedback, audit or AI-provider data. Project and coach content remains available while the account and project are active unless deleted through the app or on a valid request. “Delete my app data” permanently deletes projects you created that have no collaborators, your feedback, and related audit entries, and removes your access to projects shared by other users; it leaves your sign-in account and subscription unchanged. “Delete my account” schedules cancellation of any active Stripe subscription at the end of its current billing period, then deletes your sign-in account and eligible app data. Your access ends immediately, even if paid time remains. Projects with other editors or viewers are preserved and transferred to them. Stripe and platform providers may retain records under their own retention rules or where law requires.
7. Lawful bases
We rely on contract where processing is needed to provide your account, projects, coaching, subscription or purchased credits; legitimate interests for security, service operation, troubleshooting and support; and legal obligation where records must be kept for applicable legal requirements. Consent is used where required by law and for any feature that relies on consent. No consent-based analytics or advertising feature was found in the app source. Browser storage is described separately in the Cookie Policy; its legal basis and any consent or objection controls depend on the purpose of each use. The operator should confirm these bases and document legitimate-interest assessments before launch.
8. Your UK data protection rights
You may have rights to access your personal data, correct it, request erasure or restriction, object to processing based on legitimate interests, and receive certain data in a portable format. You can withdraw consent where processing relies on consent. Rights are subject to legal conditions and exemptions. Contact the controller using the details above. You may complain to the UK Information Commissioner’s Office (ICO) at ico.org.uk/make-a-complaint, or call 0303 123 1113.
9. Information you should not submit
Do not submit confidential, classified, export-controlled, personal, commercially sensitive or otherwise restricted information unless you and your organisation has authorised that use.
10. Changes and contact
We may update this policy as the service changes. For privacy requests or questions, contact support@improve-ops.com or use our Contact page. This policy describes the current application code/configuration and is not legal advice.
